Manage workspaces and documents

Organise knowledge, upload supported files, and understand processing states.

Create and organise workspaces

  1. Open All workspaces from the workspace explorer.
  2. Choose Create workspace.
  3. Use a clear name based on the team, client, project, or information boundary.
  4. Open the workspace before uploading or starting a chat.

Workspace names are visible to people who can access the workspace. Avoid placing secrets or unnecessary personal data in names.

Upload documents

  1. Open the intended workspace and choose Upload data.
  2. Select the files you want to add and review the selection.
  3. Confirm the upload and keep the workspace open while the transfer begins.
  4. Processing continues in the background. Ask questions after the file is ready.

Zylox accepts common PDFs, presentations, Office documents, spreadsheets, text and email formats, images, and ZIP transport bundles. Current per-file limits are 100 MB for PDFs and presentations, 50 MB for Office documents and spreadsheets, 25 MB for text and email files, 15 MB for images, and 250 MB for ZIP bundles. Expanded ZIP contents are also checked.

Duplicates and new versions

Normal uploads add documents; they do not silently overwrite an existing file. Zylox blocks obvious duplicate selections and may reject a byte-for-byte duplicate. When you intend to update an existing document, use its replacement or version workflow so citations and history remain tied to the correct document.

Delete content

Use the document or workspace action menu and choose the delete action. Read the confirmation carefully: deletion removes the content from normal use and can take time to finish across storage and search systems. Do not assume deleted content can be restored.
