Invite someone to a workspace
- Open the workspace and choose its share or people action.
- Enter the person's work email address.
- Select the least-privileged role that lets them do their work.
- Review the workspace and document visibility before sending the invitation.
- Ask the recipient to sign in with the invited, verified email address.
Roles in practice
- Admins manage workspace membership, roles, and sharing settings.
- Editors work with content that has been shared with them.
- Viewers read content made available to them.
A workspace role does not automatically make every restricted document visible. Document-level access and publication state can further limit what a person can open, query, replace, or download.
Review access when work changes
- Remove people who no longer need the workspace.
- Reduce roles when administrative or editing access is no longer required.
- Check restricted documents before widening workspace access.
- Use a separate workspace when the audience or information boundary changes.
